Can a retail POS system handle customer accounts?

Infinity can manage charge accounts (called Debtors in Infinity) with purchases, payments and configured credit limits. Infinity can prevent a sale that would take a charge account over its limit. Separately, customer orders raised in Infinity POS can create a purchase order or replenishment request, with received stock then allocated to the customer order. Regular customer records (called Other Customers in Infinity) are kept separately and have no line of credit.

The useful distinction is between charge accounts, customer orders and regular customer records. Infinity keeps those as separate workflows with different controls, all in the system rather than in a notebook by the till.

What customer records support

Charge accounts, customer orders and regular customer records are separate jobs in Infinity.

  • Charge accounts and balances

    Purchases and payments are managed centrally, with current and aged balances held on the account and a history of what was bought. Infinity calls this account type a Debtor.

  • Customer orders

    An order raised at POS can create a purchase order or replenishment request; received stock can then be allocated to that order.

  • Credit limits and credit holds

    A configured credit limit can prevent an over-limit sale, and Infinity also documents a Stop Credit state for putting the account on hold.

    Normal customer records are kept separately from charge accounts and have no line of credit. Infinity calls these Other Customers.

    The store extends more credit than the account was configured to allow.

    Infinity can prevent the sale when the charge would exceed the configured account limit.

Can we sell on account?

Yes, where that is how your store trades. The system records balances and enforces the limits you set; the credit decision stays yours.

Can we take special orders?

Yes, recorded against the customer along with what was promised, which is the part a notebook loses.

Can we see what a customer has bought before?

Yes, where sales are rung against the customer record. History follows from that being done consistently.

Can we stop staff exceeding an account limit?

Yes. Who may override a limit is a permission rather than a matter of who is on shift.
