Privacy Policy: Internal QuickBooks Purchasing Integration
Operator: Biztracker POS Inc. ("we"). Address: 7215 Bryan Dairy Rd, Seminole, FL 33777. Contact: kris@biztracker.com. Effective date: October 10, 2026.
This integration is a private tool used only by us with our own QuickBooks Online company. It is not offered to the public or to other businesses. No one other than our authorized QuickBooks administrator authorizes or uses it.
What it accesses
With the QuickBooks administrator's consent (scope com.intuit.quickbooks.accounting) it reads our vendors, items, our
accounts-payable account, existing purchase orders and company information, creates a purchase order for an eligible customer order, and
sends that purchase order by email to our supplier through QuickBooks. It does not access payments, payroll or bank data.
Order data
Purchase orders for drop shipments include the customer's shipping name and address, the products and the quantities, because the supplier needs them to ship. This data comes from our own order system. The software does not send customer phone numbers or email addresses to QuickBooks.
How we use and share it
We use it only to create, send and track our own supplier purchase orders and to prevent duplicate orders. Purchase-order contents go to the supplier named on the order. We do not sell it, use it for advertising or share it with any other party, except where the law requires.
Where it is stored
The software runs on a single company-controlled Windows computer. It keeps (a) a local ledger of order and purchase-order references, decisions and email status, (b) order export files received from our order system, which contain customer shipping details, and (c) QuickBooks access tokens in a folder in the computer's user profile outside the software's source code. These are not stored with a cloud storage provider or a database service by the software. We do not claim any third-party security certification.
Retention
Order export files and the ledger are kept until we delete them by hand; we do not apply an automatic deletion schedule. Access tokens are kept only while the integration is connected and are deleted when it is disconnected.
Disconnecting
The QuickBooks administrator can disconnect at any time in QuickBooks (connected apps) or by running the software's disconnect command, which revokes our refresh token at Intuit and deletes the local token file. After disconnection we cannot access the QuickBooks company.
